How to translate PowerPoint slides with Microsoft Copilot

Microsoft Copilot is an AI assistant that, depending on your subscription, can be used within PowerPoint and other Microsoft products. The PowerPoint version of Copilot helps design and create presentations with AI, including translations.

To get started, click on the multi-colored Copilot icon in the bottom-right corner of PowerPoint. Double-clicking brings up the side pane where you can enter prompts.

1. In the Copilot side pane, look among the suggested prompts for a translation option.

2. If you don’t see a suggested prompt for translations, type in a prompt with specific details to begin translation. For example, “translate this entire presentation into German” or “translate slides 3-6 into Spanish.”
3. Not being specific in the prompt, such as simply saying “translate this presentation into French” might lead to extra steps, especially if it’s a large presentation. For example, only one slide might be translated at a time before Copilot asks if you’d like the entire presentation translated.
4. Once you enter the prompt, you can track the progress of the translation.

5. Once completed, check formatting and make fixes as needed.

How to translate PowerPoint slides with thinkcell Assist

Each of these platforms is a little different, as are the costs associated with the services. To translate a PowerPoint, you typically follow these steps.

1. Select the input language (sometimes this is automatically detected).
2. Select the output language to translate into.
3. Upload the PowerPoint file.
4. Download the translated PowerPoint and then make any edits as needed.

While this method can be useful in certain situations, there are some downsides. Comparing your downloaded file with the original can mean a lot of back-and-forth to verify layouts and formatting. Also, you lose version history, which means that if a colleague making edits to the shared file while you’re uploading for translation, you can end up with inconsistencies and having to do duplicate work.

How to manually translate slides with AI chatbots

You can leave PowerPoint and open a browser-based AI chatbot to ask for a translation. This is a manual process and best used for small batches of text or to refine certain sections, as it’s a tedious process requiring copying, pasting, and formatting. Another downside is that the AI doesn’t have the context of your full presentations, while integrated PowerPoint solutions have all the slide and presentation context to ensure better wording.

1. Copy the text from a PowerPoint shape or textbox that you want translated.
2. Paste the text into an AI chatbot and use a prompt to translate it into your language of choice.
3. Copy the output and then return to PowerPoint to paste the text into the original shape.
4. Check formatting and make fixes as needed.

One thing to look out for when copying and pasting with this method are potential errors. When working at a fast pace, it’s easy to accidentally copy the entire response or to paste in the wrong textbox.
