What happens to the data when the customer uses thinkcell Assist?
If the customer uses thinkcell Assist:
Two categories of data are processed:
Request metadata: thinkcell stores technical metadata such as the license key, an anonymous system identifier, the requested thinkcell Assist skill, and performance metrics. This data contains no personal information and no prompt, slide, or answer content. It is retained for operational, security, and compliance purposes.
Conversation content: Data processed to answer a user's request (such as prompts, relevant slide content, and generated answers) is automatically deleted within 24 hours.
In exceptional cases, such as bug investigations or when a user submits negative feedback, relevant conversation content may be retained temporarily to investigate and resolve the issue. Before retention, any personally identifiable information is removed, and only the information necessary for the analysis is kept. The data is deleted once the issue has been resolved.
Are mechanisms in place to detect and remove personal or sensitive information from training data?
We do not train our models.
Do you have data sharing agreements in place with your third-party AI service providers that process our data?
Yes. Data cannot be used for training, and must be deleted within 24 hours unless it is needed for bug fixing or product improvement (e.g. negative review to AI response) in which case it is anonymized. Anonymized data is only kept as long as it is needed.
Where are servers located?
PowerPoint remains EU-hosted, but Excel thinkcell Assist currently processes on US-based servers.
Can customers connect their own AI services (e.g., Azure-hosted GPT)?
Currently not supported. We are evaluating possible future solutions.
Is customer data segregated between tenants?
Yes. Customer data is logically separated to prevent cross-customer access.
Is there a defined data retention period?
Data is stored to fulfill the request of a user. Observability data may be stored in not anonymized form for up to 24 hours. Conversation content is deleted immediately once the conversation is closed. After closure, conversation content remains only on the user’s local device. Additionally we have a Zero Data Retention Agreement in place with Anthropic as our subprocessor.
Are prompts anonymized before processing?
Only necessary text content is processed; no additional enrichment or profiling occurs.
What happens to customers' data when they do not use thinkcell Assist?
If thinkcell Assist is not used, no data is processed. No DPA is required in this case because there is no data processing activity.
Are there options to keep processing EU‑only, for example by disabling certain AI features?
Yes, this is possible in some cases:
Custom Settings: For larger or key customers, we can often change the settings of thinkcell Assist. We can disable specific AI features that would normally send data to providers outside the EU.
EU-Only Setup: If the technical setup allows it, you can keep using the remaining features while ensuring all data stays within the EU.
Why we do it this way: We prefer using these technical settings instead of changing the legal contract for every customer. This keeps things standard and simple while still meeting your specific privacy needs.
Please note: Whether a 100% "EU-only" setup is possible depends on which features you want to use and the technical requirements at the time.
Does the Early Access collect more user data than the final product?
No. The data collection approach in the Early Access is the same as planned for the final product.
Do customers who only use thinkcell Suite or Essentials need a DPA?
No. If the customer only uses thinkcell Suite or Essentials, the product remains on-premise software and no DPA is required.
Does thinkcell Assist require an additional AI service contract besides the SLA?
Yes. For thinkcell Assist, the customer must agree to the SLA, the AI Service Agreement, and the DPA for AI services.
Are individual named users identified for thinkcell Assist usage tracking?
No. Usage is not tracked by individual user name; only system IDs are used.
Are customer terms excluded from the agreement?
Yes. Customer terms are excluded from the agreement.
Is German law currently the governing law for the AI contracts?
Yes. German law is currently the governing law; a US-law version is in preparation.
Does Section 3.7 imply that thinkcell acquires any ownership or intellectual property rights in customer documents, data, or output processed through thinkcell Assist?
No.
Section 3.7 of the AI Service Agreement applies solely to thinkcell Assist and its underlying technology (including software, models, algorithms, and related concepts). To avoid any ambiguity, we added an explicit clarification confirming that thinkcell does not acquire any ownership, copyright, or other intellectual property rights in customer documents, data, content, or output processed or generated through thinkcell Assist.
Is thinkcell Assist included in the regular thinkcell license?
No. thinkcell Assist is a commercial add-on on top of the standard thinkcell Suite license. It cannot be purchased yet by itself.
What are the environment requirements for thinkcell Assist?
The environment prerequisites are the same as for thinkcell, including a supported Windows OS and PowerPoint version, the required permissions, and the same MDM constraints.
